Qutis Terms of Service: Booking Treatments, Patient Responsibility, Memberships, and Packages
Overview
Qutis treatment packages and memberships are designed to help patients achieve optimal treatment results at an affordable rate, making it simpler to "Look Your Natural Best." By enrolling in a Qutis Membership or purchasing a package, you agree to comply with the following terms and conditions.
Membership Terms and Conditions
Memberships consist of 12 monthly payments, typically for HydraFacial and Botox treatments.
1. Agreement Overview
By enrolling in the Qutis Membership 12-month payment plan, you agree to comply with these terms and conditions.
2. Payment Terms
- Membership consists of 12 equal monthly payments. Some memberships may require an initial upfront payment.
- You agree to make all 12 payments, and no refunds will be issued if you fail to utilize the services included in the membership, except as outlined in Section 4.
- Payments are non-refundable but remain in your account until redeemed, with no expiry date.
- If treatment is not possible due to a change in health conditions or future complications, Qutis may, at its discretion, issue a prorated refundable payment.
- Payment Schedule: Payments are scheduled monthly on the same day of each month, starting on the initial start date of the membership.
- You are responsible for ensuring your card details on file are kept up-to-date to ensure monthly payments are made on the agreed date.
3. Cancellation Policy
- Cooling-Off Period: You may cancel the membership within 14 days of the initial payment and receive a full refund.
- Early Termination by Customers: If you cancel before the end of the 12 months, you will be liable for the remaining payments to the end of the contract. A cancellation fee of £200 may also apply from the point of first treatment redemption.
- Termination by Provider: Qutis reserves the right to cancel this agreement at any time for breaches of these terms and conditions, with or without notice. In such cases, an appropriate refund may be issued at Qutis’ discretion.
Package Terms and Conditions
Packages are a single payment made for a bundle of treatments.
1. Agreement Overview
By purchasing a package, you agree to comply with these terms and conditions.
2. Payment Terms
- One payment is made upfront for the total value of the package.
- Payments are non-refundable, except as outlined in Section 3.
- Packages have no expiry date, meaning if you are unable to redeem your treatments for any period, the payments remain in your account until redeemed.
- If treatment is not possible due to a change in health conditions or future complications, Qutis may, at its discretion, issue a prorated refundable payment.
3. Cancellation Policy

- Termination by Provider: Qutis reserves the right to cancel this agreement at any time for breaches of these terms and conditions, with or without notice. In such cases, an appropriate refund may be issued at Qutis’ discretion.
Treatment Terms and Conditions
1. Payment Methods
- Membership payments are processed via the card-on-file system with Zenoti patient software. You are responsible for ensuring card details are updated if required.
- Late payments will incur a £20 late fee. Continued non-payment may result in suspension or termination of services.
- The treatment value cannot exceed the amount held in your account on the day of treatment.
2. Treatment Details
- Treatments in your membership are fixed and can only be substituted with the approval of the Qutis Nurse Director.
- Treatment Schedule:
- HydraFacial treatments must be scheduled in advance, either monthly or bi-monthly, depending on your plan. It is your responsibility to book appointments in a timely manner.
- Botox treatments must be scheduled in advance and spaced at least 12–16 weeks apart.
- Missed Appointments: If you miss an appointment without providing 48 hours’ notice, the full treatment value will be payable, and a £50 no-show fee will be applied.
- Rescheduling: Appointments can be rescheduled up to 48 hours in advance without penalty.
- Treatment Expiry:
- All membership treatments must be taken within 6 months of the last payment date. No refunds will be made for treatments not taken.
- All package treatments must be taken within 18 months of the initial payment, with no expiry date for the payments themselves.
3. Consultation Fees
- No consultation fee is charged if a customer proceeds with treatment or is unable to have treatment due to a medical reason identified during consultation.
4. Appointment Confirmation, Cancellation, Late Rescheduling, and No-Show
- A £50 fee is charged for no-shows, cancellations, or rescheduling with less than 48 hours’ notice. This policy prevents wasting valuable practitioner time, allowing us to book another customer from our waiting list.
5. Coolsculpting Bookings
- Coolsculpting bookings require either:
- Option A: Full payment at the time of booking.
- Option B: A £500 deposit to confirm the appointment.
- A £250 charge will be applied if the patient cancels with less than 7 days’ notice. This policy overrides standard cancellation and payment processes.
Health and Safety
- Health Information: You must provide accurate and up-to-date health information before each treatment session.
- Allergies and Reactions: It is your responsibility to inform us of any allergies or adverse reactions you may have to skincare products.
- Infections or Illness: Please reschedule your appointment if you have any contagious conditions. We reserve the right to refuse treatment to anyone who appears to be ill.
Client Conduct
- Punctuality: Please arrive on time for your appointments. Late arrivals may result in shortened treatment time or cancelled appointments.
- Personal Hygiene: Clients are expected to maintain personal hygiene for the comfort and safety of both clients and staff.
Liability
- Service Quality: We strive to provide the highest quality service, but results may vary based on individual skin conditions and adherence to aftercare instructions.
- Personal Belongings: We are not responsible for any lost or stolen personal items.
Changes to Terms and Conditions
We reserve the right to amend these terms and conditions at any time. Clients will be notified of any significant changes via email, website, or notices within clinics.
